This notice is for job candidates who apply through Picked.ai. It explains, in plain terms, what happens to your personal data, the fact that an AI process is involved, and your rights. It sits alongside our full Privacy Policy; this notice gives you the candidate-specific detail.
1. Who handles your data
Picked.ai is operated by Neuroworx Ltd, a UK company (company number 14612373, registered office 22 Charterhouse Square, London, England, EC1M 6DX, ICO registration 09910326623). "Picked.ai" is the product name, not a separate company.
For your application data in the Picked.ai pipeline, Neuroworx Ltd is the data controller. The employer who posted the role also handles your data for their own hiring decision.

2. An AI process will assess your application
When you apply through Picked.ai, an artificial-intelligence process will:
- screen your application,
- run an assessment,
- conduct a first-round interview by voice (you speak with an AI interviewer), and
- score and rank your application against the role.
The employer who posted the role then receives a ranked shortlist and makes the hiring decision.
This matters, so we tell you up front. The AI screening and interview is treated as a high-risk AI system under the EU AI Act, which means extra safeguards apply to protect you.
3. Your consent
When you apply, we ask for your consent to this AI-assisted process, including the recording and transcription of your voice interview. You can decline, and you can withdraw consent later, though we may then be unable to process your application through Picked.ai. Withdrawing consent does not affect processing already carried out.
4. What we collect
- Your name, email address, and the information in your CV or application.
- Your answers in screening questions and the assessment.
- The audio and transcript of your AI voice interview.
- AI-generated scores, summaries, and your position in the ranking.
- Limited technical data needed to run the interview and keep the service secure.
Please do not share special category data (for example about your health, ethnicity, religion, or beliefs) unless it is necessary. We do not ask for it, and we do not use it to profile you beyond what is needed to assess you for the role.
5. Your rights, including over automated decisions
You have the right to:
- Meaningful human review. You can ask for a human to review an outcome that was based on automated processing. The hiring decision is made by the employer, who can review the evidence behind your result. This is your right under Article 22 UK GDPR (and the EU equivalent).
- An explanation. You can ask for an explanation of how the AI process reached its result.
- Contest the outcome. You can challenge a result you think is wrong or unfair.
- Access the personal data we hold about you.
- Correct inaccurate data.
- Erase your data ("be forgotten"), subject to legal limits.
- Restrict or object to processing.
- Withdraw consent at any time.
- Complain to a data protection authority. In the UK this is the Information Commissioner's Office (ICO), https://ico.org.uk.

6. Where your data is held
Your data at rest is stored in the EU (in our database, file storage, application infrastructure, and email provider, all EU-located). To run the AI features (the reasoning, and converting your speech to text and back), some processing is carried out by specialist providers that may be located outside the EU. When that happens, your data is protected by legal safeguards: a signed data processing agreement plus Standard Contractual Clauses. We do not claim your data never leaves the EU; we do keep it stored in the EU and protect any processing outside the EU with these safeguards.
7. How long we keep your data
We keep your application data only as long as needed, then delete or anonymise it. We keep it for up to 24 months from your last activity, after which it is deleted or anonymised (an anonymised, non-personal record of any automated decision is kept for 6 years under the EU AI Act). We review the raw interview audio for deletion once the transcript is made.
8. The interview is recorded
Your first-round interview is conducted by an AI voice agent. The audio is recorded and transcribed so it can be assessed. The recording and transcript are processed by speech-to-text and text-to-speech providers and by our AI reasoning provider, under the safeguards in section 6. You will be told this before the interview begins and asked to consent.
9. Changes and contact
